Send, receive, and organize emails directly within Webooto. The built-in mail system connects to your Microsoft 365 account and provides a full inbox experience with folders, conversations, attachments, and drafts.

Mail overview
The Webooto Mail Inbox brings your email directly into your workspace. Instead of switching between your CRM, project management tool, and email client, you can read and compose messages without leaving the platform. The mail system syncs with your Microsoft 365 (Outlook) account, pulling in your folder structure, messages, and contacts.
The mail workspace is divided into three panels: the folder list on the left, the message list in the center, and the message view on the right. This three-pane layout lets you navigate quickly between folders and messages while keeping the full conversation visible.
Sending emails
Composing a new email opens a modal with fields for recipients, subject, and body. You can add To, CC, and BCC recipients by typing email addresses. The body supports both HTML and plain text formatting, and you can set the importance level of the message.
Open the compose modal
Click the "Compose" button at the top of the mail workspace to open the new message dialog.
Add recipients
Enter email addresses in the To field. Optionally expand the CC and BCC fields for additional recipients. Each recipient can have a display name alongside their email.
Write your message
Enter a subject line and compose your message body. You can switch between HTML and plain text mode. Set the importance flag if needed.
Send or save as draft
Click "Send" to deliver the message immediately, or save it as a draft to continue later. By default, sent messages are saved to your Sent Items folder.
Workflows can also send emails automatically using the Send Email node. This is useful for transactional emails like order confirmations or welcome messages.
Folders and organization
Your email folders sync from your Microsoft 365 account. The folder list shows each folder with its display name, total item count, and unread count. Folders can be nested within parent folders, mirroring your Outlook folder structure.
Common folders include Inbox, Sent Items, Drafts, Deleted Items, and Archive. You can navigate between folders by clicking them in the sidebar. The message list updates to show messages from the selected folder.

Conversations and replies
The mail system supports two viewing modes: conversation view and flat view. In conversation mode, related messages are grouped together by conversation ID, making it easy to follow email threads. In flat mode, each message appears individually sorted by date.
When viewing a message, you can reply, reply all, or forward. Reply and reply all open a compose area with the original message quoted. Forwarding lets you add new recipients and an optional comment before sending the message along.
Message attachments are displayed with their name, content type, and file size. Inline attachments (like embedded images) are rendered directly in the message body.
Drafts and templates
Draft messages are saved automatically to your Drafts folder. You can create a draft with a subject, body, recipients, and importance level, then return to finish and send it later. Drafts sync with your Microsoft 365 account, so they are accessible from Outlook as well.
For repetitive emails, you can use the page builder to create email templates. These templates are designed visually in the builder and can be used by workflows to generate personalized emails with dynamic data from your entities.
